What you consent to when you sign up
- Collecting sensitive informationCasey stores the details of your workplace matter, which can include your union membership and information about identifiable people such as managers, witnesses and colleagues. This is “sensitive information” under the Privacy Act 1988 (Cth).
- Sending your case to our AI provider (processed in Australia)To give you guidance and read your uploaded evidence, Casey sends your case text and documents to Amazon Web Services (AWS), where they are processed by the Claude AI model (made by Anthropic) within Australia, in AWS's Sydney and Melbourne data centres. Your case content is not sent overseas for this, and AWS does not use it to train AI models.
- Using Casey honestly and in good faithCasey is for documenting and understanding a genuine workplace issue accurately — not for fabricating or exaggerating what happened, or building a misleading case against someone — so you agree to use it honestly, working from what actually occurred, recognising that Casey stays fair to everyone named in your record.
Who we are
Casey is a tool that helps you privately document a workplace matter and prepare a record you can share with your union representative or adviser.
This policy explains what information Casey collects, how it is used, and the choices you have. It is written to follow the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
Information we collect (APP 3 & 5)
When you create an account we collect your email address and the password you set.
As you use Casey you provide the content of your matter — incidents, notes, uploaded documents and images, and the people involved. This can include sensitive information, such as your union membership and information about identifiable people like managers, witnesses and colleagues.
Sensitive information is only collected with your consent, which we ask for at signup before you enter any case details.
How we use your information
Your information is used to provide Casey to you: to store your record, to let Casey's AI assistant give you guidance, to read and transcribe documents you upload, and to assemble the exports you choose to create.
We do not sell your information, and we do not use it to advertise to you.
Disclosure to our AI provider (APP 6 & 8)
To provide AI guidance and to read your uploaded evidence, Casey sends your case text and documents to Amazon Web Services (AWS), where the Claude AI model (made by Anthropic) processes them. This processing takes place within Australia, in AWS's Sydney and Melbourne regions, so your case content is not disclosed outside Australia for this purpose.
AWS does not use your prompts or documents to train AI models, and does not share them with the model's maker. You consent to this disclosure at signup.
Where your information is stored
Your account and case data are stored in a database hosted in Sydney, Australia. Uploaded files are kept in private storage that only you can access, through short-lived links.
Keeping your information secure (APP 11)
Each account's data is isolated so that only you can read or change your own records. Files are private and accessed through short-lived signed links.
No system is perfectly secure. Use a strong, unique password and keep it confidential.
Accessing, correcting and deleting your information (APP 12 & 13)
You can view and edit your cases, incidents and profile at any time inside Casey, and you can delete a case, which removes its associated records and files.

Anonymity (APP 2)
Casey lets you refer to other people by role rather than name in the documents you export.
You can also turn on pseudonymisation in Settings to replace people's names with neutral labels (such as "Manager A") in the case text sent to our AI provider.
When you upload a document, it is sent to the AI as-is so its text can be read — that first read is not masked. After reading, Casey lists the names it found and asks you to match each one to a person on your case. Once you do, those names are replaced with the same neutral labels in everything Casey sends afterwards, so later guidance and exports stay consistent.
